We are on a journey of continuous growth – now looking for our next star – a passionate Office and Expense Coordinator within our Administrative capability. This position reports to the Executive & Office Support Manager and will work in Chicago, IL.
About the position
As an Office and Expense Coordinator in the Administrative team, you will be involved in managing the travel expense process, ensuring supplies and office resources are stocked, and providing support to various teams. This role also acts as the point of contact for vendors, manages site specific internal office communications, and supports administrative tasks.
Your main responsibilities
Office Operations & Maintenance:
- Coordinate day-to-day office operations, ensuring all office resources are properly maintained and available.
- Manage office supply inventory and process orders for new supplies as needed.
- Handle communication and relationships with office vendors (e.g., cleaning services, supply providers, etc.).
Expense Management:
- Review, process, and reconcile office-related expenses, ensuring compliance with budgetary guidelines.
- Prepare detailed expense reports and track expenditures for management review.
- Manage office credit cards, ensuring proper documentation of usage.
- Work with finance teams to facilitate invoice processing and vendor payments.
Vendor Relations & Contract Management:
- Maintain vendor relations and ensure compliance with service agreements.
- Negotiate with suppliers for competitive pricing on office-related services and products.
Administrative Support:
- Assist in scheduling meetings, coordinating events, and organizing travel arrangements for staff.
- Provide support for onboarding new employees, ensuring they have access to office resources.
- Act as the point of contact for internal office communications
Compliance & Reporting:
- Ensure adherence to corporate policies and procedures regarding office operations and expense reporting.
- Assist with internal and external audits by preparing documentation and providing relevant reports.
Performs other duties as assigned.
