Job Description:
The Project Coordinator II position is a Full-time, temporary position working Monday-Friday daytime hours. This is a fully remote position.
Pay Range:
$17.73-$28.50 per hour
Summary: This position is responsible for effectively coordinating and managing assigned IT projects to ensure successful implementation for clients. This role brings structure and oversight to each initiative through careful planning, budgeting, resource allocation, and collaboration with internal teams and client stakeholders. Working under the direction of the Manager of Professional Services and Compliance, the Project Coordinator ensures quality assurance, consistent communication, and project delivery aligned with scope, timelines, and objectives. While primarily focused on IT projects, this role may also support cross-departmental initiatives as needed.

PROJECT COORDINATOR RESPONSIBILITIES:
- Under the supervision of the Manager, Professional Services and Compliance, the project coordinator will:
- Coordinate the design and appropriate scoping of new Statements of Work (SOWs) in collaboration with the implementation team, Nuvodia leadership, and client stakeholders.
- Develop and maintain detailed implementation plans, project timelines, and tracking systems to ensure successful execution.
- Collaborate with deployment engineers to ensure engineering, testing, and rollback plans are created prior to project kickoff and consistently updated throughout the project lifecycle. Ensure that all planned changes to client environments are governed by proper change management processes and verify that engineers submit and follow the change in compliance with client-specific requirements and industry best practices.
- Work with the purchasing team to confirm accurate and timely procurement of all project-related materials.
- Facilitate clear and consistent communication among all project stakeholders; engage with users to gather requirements and resolve issues.
- Monitor project progress to ensure adherence to scope, timeline, and budget. Track and document change orders, coordinating with engineers and account managers to support client negotiations as needed.
- Partner with the Service Leadership Team to ensure a seamless handoff from project implementation to ongoing support.
- Track project budgets and ensure adherence to financial constraints. Provide regular status reports to the Manager of Professional Services and Compliance, including risk and issue escalation when necessary.
- Ensure each project meets or exceeds client goals, objectives, and satisfaction benchmarks.
- Maintain accurate and organized project documentation, including project plans, testing documentation, lessons learned, and technical support materials. Ensure engineers update all necessary configuration and support documentation.
- Support internal initiatives and contribute to projects aimed at improving the health and accuracy of the project sales funnel.
- Perform additional duties as assigned by management.

- Follows all Health and Safety policies and guidelines of Inland Imaging and its partners depending on work location
Supervisory Responsibilities:
- May supervise individuals involved with a specific IT project

Qualifications:
- Education: Bachelor’s Degree or equivalent experience.
- Experience:
- Minimum of two years of IT experience is required
- Minimum of 1 year of project or other operations or organizationally related functions
- Excellent organization, communication, presentation and interpersonal skills
- Strong analytical, problem solving and sound decision-making skills
- Ability to coordinate multiple activities and evaluate associated data
- Detail oriented, ability to multitask, prioritize projects depending on the demand
- Certifications: Appropriate project management certifications (i.e. CAPM), or equivalent experience desired
- Computer Skills: Experience with the following computer applications is highly desired: Microsoft Office products (Outlook, Word, Excel, Visio); Internet, Intranet
- Drug Test: Eligible employees must be able to pass a post-offer, pre-employment drug test.
