We're looking for a detail-driven Document Control Analyst to support a project team by keeping information organized, accurate, secure, and easy to access throughout the project lifecycle — from kickoff through closeout. What You’ll Do:
You’ll play a central role in how project information is created, shared, tracked, and archived. In this position, you will:
- Develop, maintain, and execute the project’s Information Management Plan
- Partner with the U.S. SharePoint Administrator to build a project-specific SharePoint site and set up proper security and access
- Review contractor document control requirements and align them with the project’s contract(s)
- Create and maintain transmittal logs, distribution matrices, and a master document register
- Set up repositories, metadata, and permissions for project records
- Track submissions, revisions, approvals, and document distribution
- Maintain accurate naming/numbering conventions and ensure compliance with document control requirements
- Safeguard sensitive, restricted, and regulated information
- Use the master document register to monitor deliverables and identify missing items
- File and manage records in accordance with document control and records management standards
- Track receipt of records and report status updates to management
- Work with project managers, engineers, field clerks, and contractors to resolve documentation discrepancies
- Prepare hardcopy records for retention in alignment with information management policies
- Support project turnover documentation and closeout activities
- Remove electronic transitory information where appropriate
- Maintain records within project tracking tools
- Take on additional project tasks as needed
