HIRING: Project Administrator - Houston
I’m partnered with a Houston-based General Contractor looking for a Project Administrator to support their Project Managers and keep projects running smoothly. If you like structure, documentation, organization, and being the person who keeps a job moving without chaos, this is a strong fit.
You’ll be the operational backbone, owning project documentation, general conditions, logistics, permitting, subcontractor coordination, and helping the PMs stay ahead of everything.
Key Responsibilities:
• Manage and organize project documentation, RFIs, submittals, and closeout materials
• Support bid invites, bid calendars, distributing plans/specs, and organizing received bids
• Process subcontracts and verify insurance, licenses, W-9s, waivers, and vendor documents
• Coordinate permits, inspections, and compliance with cities and property managers
• Provide day-to-day PM support: scheduling, communication, meeting notes, and follow-ups
• Maintain accuracy in construction management software and integrated accounting workflows
Key Requirements:
• Strong organizational and documentation skills
• Construction admin or project coordination experience preferred
• Confident using construction management software and Microsoft Office
• Clear communicator with strong attention to detail
• Able to prioritize in a fast-moving environment
• Understands construction terminology and workflows
Houston-based. Full-time, office-based.
